Position Overview:

The HD Coordinator plays a vital role in supporting talent acquisition and human development functions and contributing to our organization's overall success. This role will be responsible for assisting with various HD activities, ensuring compliance with policies and regulations, and providing exceptional support to team members and the HD team.

Responsibilities:

  • Embraces and exemplifies the Code of Ethics and Conduct, as well as follows Company policies and standards
  • Recruitment Support:
    • Assist in the recruitment process, including job postings, candidate screening, and interview coordination
    • Maintain applicant tracking system (ATS) and ensure data accuracy

    • Coordinate new hire onboarding activities

    • New Hire Orientation

      • Communicate:

        • Upcoming class to presenters

        • Reminders to managers of their role and tasks to complete

        • Reminders to new hires – so they clearly understand the first week's schedule, responsibilities, etc.

      • Update presentation decks/materials as changes occur (quarterly)

      • Book rooms

  • Employee Records Management:
    • Maintain accurate and up-to-date employee records, ensuring confidentiality

    • Manage HR databases and systems to track employee information

  • Benefits Administration:
    • Address employee inquiries regarding benefits and assist in resolving issues

    • Administratively support open enrollment

      • Update employee benefit summary

      • Publish

      • Run communication campaign

      • Answer employee questions

  • HR Compliance:
    • Ensure compliance with federal, state, and local employment laws and regulations

    • Assist in the preparation of reports for audits and compliance reviews

  • Employee Relations:
    • Assist in the resolution of employee relations issues under the guidance of HR management

    • Serve as a point of contact for employee inquiries and concerns

      • Troubleshooting password/login issues with HD/L&D systems

      • Help navigating online tools/training

      • Paystubs

      • Insurance cards

      • Insurance questions

      • Wellness questions

      • Employment verifications (mortgage lenders, etc.)

      • 401K participation, change contributions/distributions

      • Referral bonus payouts/program

  • Administrative Support:
    • Provide general administrative support to the HR department

    • Prepare HR-related documents, reports, and correspondence

    • Participate in compensation surveys on behalf of the company

  • Wellness:
    • Monthly campaigns

    • Organizing and running annual Biometric Screens

    • Organizing and running Flu Shot clinics


Qualifications:

  • Advanced education beyond High School is highly preferred; equivalent work experience also considered
  • Experience administering HR programs: Must understand the human resources field and related concepts and laws
  • Demonstrated ability to hold sensitive information in complete confidence to ensure team member trust is maintained
  • Extreme attention to detail; demonstrated ability to follow established processes
  • Thrive in an environment of ambiguity and a world of competing priorities, with the ability to stay focused and complete projects within timelines and under pressure
  • A positive, proactive demeanor
  • Possess positive and effective communication skills including written, interpersonal, small group, and presentation skills
  • Advanced computer competency required including typing, web browser, and Microsoft Office; experience with iSolve HRIS or ability to learn required
  • Ability to read, write and speak English fluently to communicate effectively with team members within and external to the production department. Spanish speaking skills are a plus
