Your Role
As a B2B Sales Support and CRM Executive Assistant, you will act as a critical force multiplier across multiple B2B sales brands (including Koenig Machinery, HardwareBox, and Haverford Trade), lifting the administrative and CRM workload from front-line sales teams.
Specifically, you will:
- Own CRM hygiene across business units, ensuring accounts, contacts, deals, and activities remain exceptionally accurate and up to date.
- Enrich inbound leads with key company information, decision-maker identification, industry data, and fit analysis before routing to sales representatives.
- Build and maintain target prospect lists for outbound campaigns using public sources and tools such as LinkedIn, Apollo, or ZoomInfo.
- Triage shared sales inboxes, flagging high-priority inquiries to the appropriate representative and responding to standard requests using approved templates.
- Schedule meetings, demos, and follow-up calls across multiple international time zones, including calendar management for Australian, US, and European customers.
- Prepare detailed pre-meeting briefs for sales representatives, summarizing client backgrounds, historical interactions, products of interest, and key talking points.
- Send follow-up emails, quote reminders, and renewal notifications on behalf of sales representatives using approved templates.
- Generate weekly pipeline, activity, and conversion reports for each business unit, along with consolidated monthly reporting.
- Maintain sales collateral libraries to ensure representatives always have access to the latest materials.
- Support light marketing operations, including list uploads, basic email campaign setup, and event registration coordination.
What You Need
Non-Negotiables
- 3 to 6 years of experience as a Sales Coordinator, Sales Operations Associate, Executive Assistant to a Sales Leader, B2B SDR, or Lead Generation Specialist.
- Excellent written English with a proven ability to draft highly tailored, on-brand B2B emails for Australian customers.
- Hands-on proficiency with at least one major CRM platform (such as HubSpot, Salesforce, Pipedrive, or Zoho).
- Strong spreadsheet management capability and exceptional data hygiene skills.
- Proven track record of working effectively in remote, low-touch teams with minimal supervision and an asynchronous communication environment.
- Demonstrated self-starter mentality with the ability to ramp up independently using documented SOPs and recorded training materials.
- Comfortable managing workloads across three or more business units with different products and customer profiles.
Preferred Skills / Expertise
- Prior experience supporting sales representatives selling into Australian, UK, or US B2B markets.
- Familiarity with prospecting and lead enrichment tools such as Apollo, ZoomInfo, and LinkedIn Sales Navigator.
- Experience working across multiple brands or business units simultaneously.
- Bachelor's degree preferred.
- Proactive, deadline-driven, and highly organized, with the ability to identify solutions and maintain discretion when handling pipeline data.
