Your Role

As an Administrator, you are responsible for:

  • Insurance renewals and valuation requests
  • Maintaining insurance and valuation registers
  • Requesting and following up on insurance renewals with brokers
  • Maintaining the insurance master spreadsheet
  • Requesting updated valuations
  • Drafting general notices and communications to owners via email
  • Uploading notices and required documents to the portal
  • Maintaining and reviewing portal documentation
  • Drafting initial breach notices and issuing final approved versions
  • Maintaining and updating the Building Warrant of Fitness (BWOF) register
  • Following up on upcoming BWOF renewals and issuing owner notices
  • Providing general administrative support and backup to the centralized administration team
  • Attending Body Corporate meetings when required
  • Preparing Pre-Contract Disclosure Statements, Pre-Settlement Disclosure Statements, Certificates of Indebtedness, and Deeds of Covenant
  • Liaising with owners, agents, and lawyers
  • Raising fee invoices and preparing disclosure documentation for approval
  • Sending approved documents to clients, agents, and lawyers
  • Following up on change of ownerships after settlement dates
  • Updating systems and owner registers for ownership changes and Section 85 Deeds of Covenant
  • Sending welcome letters and outstanding levy invoices to new owners
  • Preparing and issuing AGM and EGM notices, postal votes, and proxies
  • Managing pre- and post-AGM/EGM task lists
  • Drafting resolutions without general meetings
  • Collating apologies, postal votes, and proxies
  • Issuing reminder notices, meeting minutes, and Notices of Delegation
  • Uploading approved AGM documents to the portal
  • Maintaining meeting calendars, venue bookings, and master spreadsheets
  • Booking internal and external meeting venues
  • Managing and delegating the centralized email inbox
  • Responding to and acknowledging queries promptly
  • Delegating email responses to the appropriate team members
  • Maintaining accurate records and administrative documentation
  • Attending Body Corporate meetings as required

Qualifications and Experience:

  • At least 1 year of experience in data entry and administrative roles
  • Proficient in Google and MS Office Suite, particularly Excel and Word, with working knowledge of accounting software
  • Excellent communication skills, both written and verbal
  • Strong organisational and time management abilities
  • Effective interpersonal skills, with the ability to liaise with diverse stakeholders
  • Able to work independently as well as collaboratively within a team environment
