Your Role:

As a Document Controller, you will:

• Contract Drafting & Execution: Draft, amend, and assemble Commission Agent, Dealer, Car Wash, Loan, and Deed agreements alongside required annexes and disclosure documents.
• Compliance & Due Diligence: Perform ASIC company searches, ABN validations, bank guarantee verifications, visa checks, and police checks to ensure legal compliance prior to contract execution.
• Changeover Management: Coordinate contract sign-offs, deal sheets, and security collection to meet site transfer and changeover deadlines.
• Bank Guarantee & Security Administration: Inspect, verify, track, and store Bank Guarantees, Petrol Bonds, and security deposits; monitor expiry dates, releases, transfers, and cashing instructions.
• Safe Custody Control: Register, index, and securely store physical and electronic original legal documents in the Safe Custody Database; manage lending, retrieval, and document retention protocols.
• Audits & Reconciliations: Perform routine reconciliations between physical securities, contract records, and database ledgers to resolve documentation discrepancies.

What You Need:

Non-negotiables

• Contract Administration Experience: Proven experience drafting, verifying, and executing legal agreements, commercial deeds, and annexes.
• ASIC & Regulatory Literacy: Hands-on experience conducting ASIC register searches, ABN checks, and identity/background verifications.
• Bank Guarantee & Security Tracking: Practical knowledge of financial securities, Bank Guarantees, Petrol Bonds, and tracking expiry timelines.
• Document Control & Archival Precision: Strict adherence to confidential record-keeping, Safe Custody database management, and legal chain-of-custody protocols.
• Attention to Detail: High accuracy when auditing executed deeds, signatures, corporate entity names, and deal sheets.

Preferred skills/expertise

• Prior legal secretary, paralegal, or commercial documentation experience within the petroleum, retail fuel, franchise, or property sectors.
• Familiarity with Australian commercial property frameworks, retail lease disclosures, and franchise agreements.
• Experience maintaining electronic safe custody software and physical secure vault storage systems.
• Advanced skills in MS Office (Excel for diarizing and tracking, Word for mail merges and contract formatting).
