Your Role:

As a Program Assurance Officer, you will:

• Program Coordination: Provide structured tracking for active site programs across repairs, maintenance, merchandising, POS, and safety operations.
• Workflow Audit & Tracking: Monitor shared service logs to ensure team activities are promptly updated with comprehensive details, explicit action owners, and hard due dates.
• Escalation Governance: Identify operational bottlenecks, program delays, or compliance gaps early and escalate them to leadership with mitigation strategies.
• Cross-Functional Liaison: Act as the central operational bridge between Manila-based support teams and Australian-based retail network stakeholders.
• Reporting & Analytics: Create, update, and maintain performance reports to support root-cause analysis, trend identification, and continuous operational improvement.
• Process Control: Audit on-time close-out metrics for all field actions, ensuring strict alignment with planned business cycles and organizational standards.

What You Need:

Non-negotiables

• Structured Program Governance: Proven experience in a project coordination, quality assurance, or program audit role within a complex operational environment.
• Data-Driven Tracking: Exceptional tracking and database management skills, with a focus on log integrity, deadline compliance, and action item mapping.
• Cross-Functional Coordination: Strong capability to manage dependencies and communication between siloed teams (e.g., maintenance, IT, operations, compliance).
• Shift Alignment: Full commitment to working standard business hours aligned with the Australian time zone to support onshore stakeholders directly.
• Analytical Mindset: Demonstrated ability to build data models and reports that highlight performance trends and operational bottlenecks.

Preferred skills/expertise

• Prior experience in Retail Operations, Fleet Facilities, or Fuel Network Management is highly advantageous.
• Background working within an offshoring or shared services model supporting Australian corporate entities.
• Solid understanding of Health, Safety, and Environmental (HSE) compliance auditing.
• Mastery of project management and workflow visualization tools (e.g., Jira, Smartsheet, advanced Excel) to track open action points.
