Your Role

As a Document and Data Administrator, you are responsible for:

  • Maintains up-to-date records of the company's necessary documents and data.
  • Serves as steward and custodian of all customer information and records.
  • Assist key persons in record-keeping and proper filing of necessary documents.
  • Works with the Quality Manager relating to Standard Operating Procedures improvement.
  • Add/Update equipment details in the system.
  • Prepare equipment details for the Work Order.
  • Coordinate with the Warehouse Team relating to inventory updates for spare parts and tools.
  • Setting up the Client's access to the system (ensuring equipment details are accurate and complete)
  • Update ticket properties in Zoho Desk based on CPRF received from the Client.
  • Monitor customers' ticket status and ensure all necessary documents/reports are attached.
  • Work with the Service Coordinator to analyse data to identify service jobs that need to be contacted for regular service maintenance.
  • Assist each department in saving and organising files in SharePoint for record keeping.
  • Other tasks relative to data and document administration as assigned by the Managers from time to time
  • Other Responsibilities and/or Accountabilities:
  • Ensuring compliance with company procedures and policies.
  • Adhere to the company's Integrated Management System (IMS) policies & procedures.
  • Actively participate in providing information regarding the development and maintenance of the company's IMS.
  • Suggest improvements and be active in the general improvement of all systems and methods of work to ensure the company supports activities and services that are carried out reliably and cost-effectively.
  • Report all known hazards and incidents to ensure corrective actions are implemented on time as per company procedure

Qualifications:

  • Degree in Office Administration, Business Administration or related field
  • At least 1-2 years of experience in Data Administration and/or Document Control
  • Knowledge of Document Management Systems
  • Familiarity with Project Management
  • Ability to adapt CRM Portals (Fractal/Zoho Desk/Service M8/SharePoint) effectively and efficiently
  • Strong Organisational Skills
  • Excellent Communication Skills both verbal and written
  • Strong sense of urgency
  • Keen and meticulous in details
