Your Role:
As a Facilities and Admin Associate, you will:
- Process and monitor filed helpdesk tickets submitted to the Facilities department.
- Update operational trackers continuously to maintain precise internal data.
- Track and maintain an accurate running inventory of all office and facility supplies.
- Record, file, and manage the safekeeping of confidential Facilities Team documents.
- Process and log vendor or internal requests for payment accurately.
- Prepare comprehensive Facilities Monthly reports for leadership review.
- Process and manage documentation for incoming/outgoing gate passes and contractor work permits.
- Prepare procurement requests for monthly facilities and engineering supplies.
- Design and create site layouts or floor plans as assigned by management.
- Manage company assets, handling tracking, updates, and overall asset control.
- Prepare financial paperwork including liquidations, cash advances, and employee expense reimbursements.
- Coordinate with and supervise onsite housekeeping staff and security guards to ensure standard compliance.
- Monitor and maintain the daily cleanliness, safety, and orderliness of the corporate site.
- Perform additional operational duties assigned by the Facilities Site Lead.
What You Need:
Non-negotiables
- Proven administrative experience, preferably in property management, hospitality, or workplace facilities.
- Strong tracking and organizational skills with deep attention to detail.
- Good communication skills to coordinate with building tenants, vendors, and third-party security/housekeeping teams.
- Basic knowledge of Microsoft Excel for recording inventories, tracking expenses, and updating logs.
Preferred skills/expertise/experience
- Prior experience supervising third-party contractors, housekeeping personnel, or security guards.
- High proficiency in using tracking tools, inventory applications, or project layout software.
- Experience coordinating directly with corporate site leadership on budget liquidations and billing.
