Your Role:
As a Sales Support Assistant, you will

  • Database Management: Maintain and audit customer records and spreadsheets to ensure complete accuracy and compliance.
  • Invoice Reconciliation: Create, validate, and reconcile high-volume invoices for United Card operations.
  • Gift Card Logistics: Manage gift card inventory, supplier ordering, stock allocations, and distribution tracking.
  • Terminal Coordination: Oversee United Terminal orders, field deployments, replacements, returns, and inventory counts.
  • Supplier Liaison: Act as the main contact for external suppliers and internal teams regarding hardware issues.
  • Reporting & Extracts: Generate operational reports and pull data extracts to support management requests.
  • Process Automation: Identify ways to use automation and AI tools to improve filing and reporting efficiency.


What You Need:
Non-negotiables

  • Data & Record Upkeep: Proven experience managing large databases and maintaining data integrity.
  • Billing & Reconciliation: Direct experience processing invoices and validating financial records.
  • Inventory Control: Background in tracking asset movements, physical stock, or logistics hardware.
  • Analytical Skills: Ability to extract raw data and organize it into clear management reports.
  • Time Management: Strong organizational skills to prioritize tasks and work efficiently under minimal supervision.


Preferred skills/expertise

  • Prior admin experience in card services, POS logistics, or the fuel and transport sector.
  • Advanced Excel skills (such as using pivot tables and lookups for data matching).
  • Familiarity using AI productivity tools (like Microsoft Copilot) to automate routine workflows.
  • Experience writing or updating standard operating procedures (SOPs) for data storage.
