About the role
Property Management Virtual Assistant supporting property managers with daily operations, tenancy administration, financial processing, and communications for a full-service Australian-owned outsourcing company.
Key responsibilities
- Draft, issue, and dispatch official work orders to contractors via Tapi and Palace; follow up to ensure timely job completion
- Draft and issue statutory tenancy notices (e.g., Entry Notices, Inspection Notices, Rent Increase Notices, Notices to Remedy) via TPS and email in compliance with statutory timelines
- Provide day-to-day workflow support to Property Managers, tracking vendor follow-ups and action items
- Prepare tenancy variation agreements, lease renewals, and onboarding/offboarding documentation using TPS and update master files in Palace
- Draft MBIE bond refund and variation forms, calculate tenant/landlord final settlements and deductions, and process updates in Palace
- Format, organize, and archive routine, entry, and exit property reports generated from Inspection Express for distribution to property owners
- Perform daily bank statement imports into Palace; reconcile tenant rent payments, bond deposits, and utility receipts
- Process incoming water rate notices, calculate tenant usage charges according to NZ utility guidelines, and generate chargebacks/invoices in Palace
- Process contractor invoices and owner fee statements in Palace; monitor daily rent ledgers and send template-based payment reminders for overdue rent
- Accurately enter, audit, and update profile details for tenants, owners, properties, and contractors in Palace
About you
- Minimum of a Bachelor's Degree (preferably in Business Administration, Property Management, Finance, Communications, or a related discipline)
- Property Management software experience: Palace
- Maintenance Automation software experience: Tapi
- Compliance & Agreements software experience: TPS (Tenancy Practice Service)
- Property Inspections software experience: Inspection Express
- Core Tools experience: Google Workspace (Gmail, Drive, Calendar, Sheets, Docs), Canva, Facebook, Instagram
- Fluent written and spoken English
- Exceptional data entry accuracy, high attention to detail, strong time management, and clear written/verbal communication
- High-speed, reliable internet connection (with backup power/internet options)
- Quiet, dedicated home office space
- Modern PC/Laptop setup with dual-screen capability preferred
